I'm having trouble adding a contact

Suppliers need to add all their required contacts into the eSourcing portal.

Once contact information is added the system will need to send an email to each individual – see steps 6 & 7 below.

By clicking on the envelope icon an email will be sent for new contacts to set their password which will allow them to login and register individually.

  1. In the pop-up box ‘Supplier Contact Management’ enter the Title, First and Last Name, Email, Position and if available also add a Phone Number.
  2. The source of supplier contact information can vary but a good start is the signed contract or the contract manager.
  3. Save the record before progressing. If you do not save your changes will be lost.
  4. Next, the added contact will need to be assigned as an ‘Admin’ level under ‘Profiles’ section - you must have at least 1 supplier contact as an ‘Admin’ who is then able to continue to manage and maintain the information such as addresses, documents and qualifications.
  5. You should be able to view the added contacts in the list of contacts under ‘Supplier Contacts’, the Role and their Email address.
  6. Click on the relevant contact using the email icon next to the contact name. An email dialogue box will appear, click send.
  7. This will send them an email notification that they have been added to the iValua system and need to reset their password to login.
  8. Once the supplier contact has been sent the password reset email the Email address appear next to the contact email icon.
How do I reset my password?

There should be no need as the system is setup to use SSO and will authenticate you from your windows login.

How often should passwords be changed?

Password should be changed every 90 days.

What are the guidelines for passwords?

Your password should contain:

  • At least one upper case character
  • At least on lower case character
  • At least one number
  • At least one special character

And should be at least 8 characters long.

What is the maximum file size for uploaded files or documents?

The maximum file size is 56120KBs (56 MBs).

Is there a feature in Ivalua that allows us to turn ON/OFF the fields shown in the UI?

Ivalua is customizable but only the administrators and configurators can do that.

How do you add a page as a 'Favourite'?

Navigate to the page then click the star icon top left. Then you can navigate to that page by clicking on the star and selecting the page.

How do you change what is visible in a grid?

If you right click any heading in the grid, you can then either select sections that you don't want visible and toggle them on/off, you can also move columns around by dragging and dropping them, you can also reset to default if you want to undo the changes.

What does the bell icon mean within Ivalua?

It signifies that you have a notification in the system if it has a red dot next to it.

What do the orange triangles and red circles mean on alerts?

Orange triangles are just warnings and allow you to continue with what you are doing, whereas red circles are blocking alerts and prevent you from continuing with what you are doing in the system until they are rectified.
